PROXY POLICY

Adopted October 17, 2007 Effective January 1, 2008

To request a Notice of Proxy from the church office, a member and their proxy must be in compliance with the Church Bylaws, Article VI, Section B, Paragraph 6.

(As used herein, “member” denotes the church member who desires to appoint someone to vote in the member’s stead. “Proxy” is used to denote the person authorized to act as a substitute for the member, i.e., to vote in the member’s stead.)

In order to be entitled to use a Notice of Proxy in any vote, both member and proxy are subject to the following rules:

a) Both member and proxy must be active adults, at least 18 years old, and must be members in good standing. b) Other than oneself, a proxy may vote for only one other member. c) A proxy cannot assign their Notice of Proxy to another member. d) A member must request a Notice of Proxy from the church office. e) The forms must be completed and in the hands of the Clerk or Moderator before the business meeting is called to order. Prior to calling the meeting to order, the Moderator will ask if all proxies have been submitted. f) When a secret ballot is to be used for a vote, the Clerk will check the box on the Notice of Proxy indicating that a ballot has been given to the proxy for the member they are representing. g) On a voice or hand vote, the Moderator shall call for a proxy vote before the vote of members present. h) The Clerk shall identify the member for whom the proxy is voting. i) The Clerk shall include Notice of Proxy forms with the minutes. j) Each Notice of Proxy is valid only for the date of vote listed thereon.
